Yeastar respects your privacy, and we will do our best to earn and keep your trust. This Privacy Policy (“Policy”) is created on the basis and in accordance with the General Data Protection Regulation (GDPR) (EU) 2016/679 with the purpose to inform you what Personal Information we collect when you use the Service, what choices you can make about your Personal Information, how we use this data, and how we protect your Personal Information.

This Policy applies to you, as a user of the Yeastar Workplace Platform and in relation to the use of the Platform and all self or third-party Applications, Plugins, and Services that make use of the Platform or integrate it, completely or partially.

Nature and purposes of processing
Yeastar Workplace is a digital workplace platform providing meeting room booking and management services for Customers. Yeastar Workplace processes the personal data of the individuals participating in these Services.

What information do we collect?
The Platform processes and stores data (including Personal Data) used to manage room bookings. In particular, the following data made available by you under the Platform:

  • First Name
  • Last Name
  • Email
  • Telephone
  • Company name
  • Department
  • Your activities on the Platform and all Applications, Plugins and Service that make use of the Platform or integrate it, completely or partially.
  • Information about use of non-Yeastar service through integrations or otherwise: parts of Yeastar Workplace service many include interactions with third-party websites or applications. This functionality may involve the third-party operator providing certain information, including Personal Data, to link your Yeastar Workplace account with a third-party account and help the registration, login, and calendar synchronization process, or otherwise. Personal information shared by account owners and users with third-party apps and integrations is collected and processed in accordance with the app developers’ terms and privacy policies.

The minimum following personal data is mandatory to be provided: name and email, without which we will not be able to provide the Service to you. As a consequence, you will not be able to use the Platform.

How do we process your personal data?
We would never sell, share, or otherwise unlawfully use your personal data by disclosing them to any third party controller unless you provide us with your explicit consent as required by law, or we have a legal basis and/or obligation to do so.

Your personal data (and other data as well) is processed by our highly qualified employees that are required to execute confidentiality and data processing agreements and must at all time comply with our personal and confidential information policy. We ensure they are provided with proper data security training during the onboarding process. Each of them receives an account (secured by a strong password) which allows them to access the corporate e-mailing system, other software systems and selected databases.

We also use third-party service providers (data processors), for processing your personal data (for example, cloud hosting services for storage, etc.). The ones established in the EU operate in compliance with GDPR. Nevertheless, many of our external third parties’ service providers are based outside the European Economic Area (EEA) so their processing of your personal data involves a transfer of data outside the EEA. Whenever this happens, we enforce the implementation of a similar degree of protection.

What security measures we have implemented?
In order to protect your data, we have implemented security measures in accordance with the applicable laws and the best industry practices. We will protect your data against any security incidents, but we cannot guarantee that such incidents will not occur.

In case of personal data breach which is likely to result in a high risk to your rights and freedom, we will notify the personal data breach to you, without undue delay.

How long will the data be stored for?
We will store the data mentioned: name and email as long as you have a user account on the Platform, taking into consideration that we cannot keep your user account active without this information.

Our business may change from time to time. As a result, at times it may be necessary for Envoy to make changes to this Privacy Policy. Yeastar reserves the right to update or modify this Privacy Policy at any time and from time to time without prior notice. Please review this policy periodically, and especially before you provide any Personal Data. This Privacy Policy was last updated on the date indicated above. Your continued use of the Site after any changes or revisions of this Privacy Policy shall indicate your agreement with the terms of such revised Privacy Policy.
